1. APOLOGIES FOR ABSENCE
2. DECLARATIONS OF INTEREST
Members of the Council should disclose personal or prejudicial
interest/s in any item/s on this agenda. You have a personal interest if
the issue being discussed in the meeting affects the well-being or
finances of you, your family or your close associates more than most
other people who live in the area affected by the issue. Personal
interests are also matters that relate to an interest you must register.
Prejudicial interests are personal interests that affect you, your
family, or your close associates in the following ways: their finances,
or regulatory functions such as licensing or planning which affect them
and which a reasonable member of the public with knowledge of the facts
would believe likely to harm or impair your ability to judge the public
interest.
If you have a personal interest you must normally declare it at the
meeting. If the personal interest arises because of your membership of
another public body, you only need to declare it if you intend to speak.
If you have both a personal and prejudicial interest you must declare it
and leave the room although you do have the same right as a member of
the public to make representations, give evidence and answer questions
about the matter.
Whenever possible, and if in doubt, advice should be sought from the
Clerk prior to the meeting.
3. MINUTES
To approve and sign the minutes of the meeting held on 18 May 2011,
attached.
4. FINANCIAL MATTERS
The Clerk will report on the schedule of payments to be made following
the meeting. A copy of the schedule is attached.
Please contact the Clerk before the meeting if you have any queries on
the items listed.
RECOMMENDATION: To approve the schedule of payments attached at
Appendix 1.
5. ANNUAL REPORT
REPORT HPC/11/04 encloses the Annual Report of the Council. It is best
practice for the Annual Report to be received by the Council and for it
to be made available in public places locally. Copies will be placed in
the Hawkinge Parish Council Office, Hawkinge Community Centre and it has
been posted on the Parish Council Website and other local websites. (TO

RECOMMENDATION: To receive and note the Annual Report.
6. HAWKINGE COMMUNITY FOOTBALL AND SPORTS TRUST PAVILION – OFFICAL
OPENING
REPORT HPC/11/05 is a joint report to the Parish Council and the
Hawkinge Community Football and Sports Trust, and gives details of the
progress of the project as it nears completion, its official opening and
the handover of the building and the ground to the Trust. (TO FOLLOW)
7. FINANCE AND GENERAL PURPOSES COMMITTEE – 25 MAY 2011
To receive and adopt the minutes of the Finance and General Purposes
Committee of 25th May 2011, with the exception of Minute 214, Spitfire
Leisuredrome, which is
detailed at item 14 on the agenda.
RECOMMENDATION: To receive and adopt the minutes of the Finance

8. APPOINTMENTS TO OUTSIDE BODIES 2011/12
At the Parish Council meeting held on 18 May 2011minute number 953
refers, the Parish Council made its appointments to outside bodies, a
vacancy exists for a second representative to sit on the Village Hall
Management Committee. The Council is requested to make a nomination for
this position
RECOMMENDATION: To appoint a second Parish Councillor to serve on
the Village Hall Management Committee.
9. PLANNING MATTERS
To receive the minutes of the meeting of the Planning and Development
Committee of 31 May 2011 giving details of the responses sent to the
District Council by the Planning and Development Committee for
endorsement. (TO FOLLOW)
RECOMMENDATION: To receive and adopt the minutes of the Planning
and Development Committees of 31 May 2011.

10. VISIT TO HAWKINGE HOUSE
REPORT: Hawkinge House is a new development of care suites providing a
new concept in care living. The attached information outlines the
facilities that will be available. The residents will be moving in on
15th June 2011. The Clerk has arranged for Councillors to have the
opportunity to visit and have a tour of the building on Tuesday 14th
June at 11am.
Councillors are asked to let the Clerk know at the meeting if they wish
to attend.
11. TOUR OF THE PARISH COUNCIL’S PROJECTS
The Clerk has arranged for Councillors to visit the Hawkinge Allotment,
Frank and Betty’s Field and the new Sports Pavilion. Details of the
dates and times will be available at the meeting.
12. CORRESPONDENCE
There are no items of correspondence attached.
13. EXCLUSION OF THE PUBLIC
To exclude the public and press from the meeting by virtue of the Public
Bodies (Admission to Meetings) Act 1960, by reason of the confidential
nature of the business to be transacted.
14. SALE OF SPITFIRE LEISUREDROME
On 25th May 2011 the Finance and General Purposes Committee considered a
confidential update which gave details of the progress on the sale of
the Spitfire Leisuredrome. The Committee also made recommendations to
the Parish Council relating to the use of the capital receipt from the
sale. REPORT HPC/11/06 encloses the report which was considered by the
Finance and General Purposes Committee and contains the recommendations
from the Committee to the Council.
